QuickBooks Online vs QuickBooks Desktop: which one fits your business?
Choosing between QuickBooks Online (QBO) and QuickBooks Desktop is one of the most common questions we hear. Here's how a CPA and Gold ProAdvisor breaks it down.
| Feature | QuickBooks Online | QuickBooks Desktop |
|---|---|---|
| Cloud access from anywhere | ||
| Automatic bank feeds & reconciliations | Limited | |
| Real-time multi-user collaboration | Hosted only | |
| Advanced inventory & job costing | Plus / Advanced | |
| One-time vs subscription pricing | Subscription | Subscription (since 2022) |
| Mobile app | ||
| Third-party app ecosystem | 1000+ apps | Limited |
| Best for | Most SMBs | Industry-specific or legacy |
When QuickBooks Online wins
For most service-based and modern SMBs, QBO is the right call. Live bank feeds, remote bookkeepers, mobile receipt capture, and a huge app ecosystem mean less manual work and faster month-end closes.
When QuickBooks Desktop still makes sense
Desktop (especially Enterprise) still leads on advanced inventory, job costing, and certain industry-specific workflows. If you rely on those, a hosted Desktop setup may be the right bridge.
Migrating from Desktop to Online
We've migrated thousands of files. The process can take anywhere from a few hours to a week and ensures your books are stronger on the other side, not weaker.
